Privacy Policy

Introduction and data controller

This English version is provided for convenience. If it differs from the Vietnamese version, the Vietnamese version prevails.

3K TECHONE COMPANY LIMITED (in Vietnamese: CÔNG TY TNHH 3K TECHONE; abbreviated: 3K TECHONE CO.,LTD; hereinafter "3K TechOne" or "we") is the personal data controller and processor for data collected through the website 3ktechone.com.

This policy is prepared in accordance with the Law on Personal Data Protection No. 91/2025/QH15 and Decree No. 356/2025/ND-CP. It applies to data collected through the website and during discussions before a contract is signed. Personal data arising while a project is carried out is processed under the contract and a data processing agreement signed separately between the two parties.

Data we process and purposes

Responding to requests sent through the contact form

  • Data: full name, email, phone number (optional), company, service of interest, budget, project description.
  • Purpose: to respond to your request, provide consultation, and send a quote; to send an email confirming that your request was received.
  • Legal basis: your consent, given when you tick the consent box and submit the form.

Keeping evidence of consent

  • Data: time of consent, version of the consent text, the email you entered.
  • Purpose: to demonstrate that you consented before we processed your data.
  • Legal basis: the obligation of the personal data controller under Article 6 of Decree No. 356/2025/ND-CP.

Operating and protecting the website

  • Data: IP address, browser type, time of access, requested page (server logs).
  • Purpose: to keep the website running reliably, and to detect and prevent unauthorized access or attacks.
  • Legal basis: protecting the system against intrusion, as provided by law.

Visitor statistics

  • Data: a random identifier stored in a cookie, pages viewed, traffic source, device and browser type, approximate location.
  • Purpose: to learn which pages attract interest so we can improve the website content.
  • Legal basis: your consent on the cookie notice (see the Cookies section).

We do not use your data for any purpose other than those listed above, and we do not send marketing emails.

We do not ask for sensitive personal data. Please do not enter information such as health data, ID card numbers, or bank account details in the "Project description" field.

Who can access your data

  • 3K TechOne staff responsible for consulting and sales, to the extent necessary to respond to your request.
  • Service providers that process data on our behalf, under contract:
    • Website hosting and email service providers: store form data and server logs, and send and receive emails.
    • Google LLC (United States): provides Google Analytics 4, only if you consent to analytics cookies.
  • Competent state authorities, when required by law.

We transfer data to partners or subcontractors involved in a project only with your consent, or when the contract between the two parties provides for it. We do not buy or sell personal data.

Transfer of data abroad

  • Google LLC, United States: receives visitor statistics data to provide the Google Analytics 4 service, only if you consent to analytics cookies. The data may be processed in the United States and in other countries where Google has servers.
  • The servers of our hosting and email service providers may be located outside Vietnam. In that case, form data and email correspondence are stored and processed there, solely to respond to your request.

We only use providers that commit to protecting data by contract. Data is encrypted in transit and at rest.

If you do not want your data to be transferred as described above, you can contact us directly by phone at 0339139127 instead of submitting the form.

Cookies

The website uses Google Analytics 4 to measure visits. This tool loads only after you click "Accept" on the cookie notice. If you click "Decline", the website does not load this tool and does not set analytics cookies.

  • Analytics cookies set by Google: _ga and _ga_<ID>, with a maximum duration of 2 years.
  • Statistics data is kept in Google Analytics for 2 months.
  • We do not use advertising cookies, do not enable Google Signals, and do not link data with Google Ads.
  • Your choice is stored in your browser for 12 months. After this period, the cookie notice appears again.

You can change your mind at any time using the "Cookie settings" link in the footer. When you withdraw consent, we stop loading Google Analytics and delete the _ga and _ga_* cookies from your browser.

The website also uses a functional cookie named locale to remember the language you chose. It is set only when you pick a language in the language menu of the website, contains only the language code (for example vi, en, ja, zh), and is stored in your browser for 12 months. We do not use this cookie for statistics or to identify you. Because it is needed to show the website in the language you chose, it is not part of the cookie notice; you can delete it at any time in your browser settings.

Data security

  • Data is encrypted in transit (TLS) and at rest.
  • Only staff whose duties require it have access; administrator accounts use two-factor authentication.
  • Regular backups; an incident response procedure is in place.
  • Service providers are bound by security obligations under contract.

Retention period

  • Requests sent through the form that do not lead to a contract: 24 months from the date we receive the request.
  • Requests that lead to a contract: according to the project contract and the document retention periods required by law.
  • Evidence of consent: the retention period of the corresponding data, plus 12 months.
  • Server logs: 90 days.
  • Data in Google Analytics: 2 months.
  • Cookie choice in the browser: 12 months.
  • Language choice in the browser (locale cookie): 12 months.

When the period ends, or when you request deletion, we delete or de-identify the data, unless the law requires us to keep it longer.

Your rights

Under the Law on Personal Data Protection, you have the right to:

  • Be informed about the processing of your data.
  • Give consent, refuse consent, or withdraw consent.
  • View, correct, or request correction of your data.
  • Request provision, deletion, or restriction of processing of your data; object to processing.
  • Request that we apply measures to protect your data.
  • File complaints and denunciations, bring lawsuits, and claim compensation for damages as provided by law.

How to submit a request: send an email to privacy@3ktechone.com, stating your request and information that allows us to identify you (for example, the email you used when submitting the form). We may ask to verify your identity before acting on the request.

Deadlines: we respond within 02 business days of receiving your request. Time limits for carrying out the request:

  • withdrawal of consent, restriction of processing, or objection to processing: 15 days;
  • viewing, correcting, or providing data: 10 days;
  • deleting data: 20 days;
  • applying data protection measures: 15 days.

If our service providers need to take part, the time limits for the first three types of request are 20, 15, and 30 days, respectively. In complex cases, we may extend the time limit once and will state the reason.

In some cases permitted by law, we may be unable to delete data; in that case, we will inform you of the reason.

Withdrawing consent

  • Contact form data: send an email to privacy@3ktechone.com stating that you wish to withdraw consent. We stop processing and delete the data within the time limit stated in the section above, except for data the law requires us to keep.
  • Analytics cookies: click "Cookie settings" in the footer and choose "Decline".

Withdrawal does not affect processing carried out before it. After you withdraw consent for form data, we can no longer continue discussing that request.

Complaints

If you believe your data has been processed in violation of the regulations, please send a complaint to privacy@3ktechone.com. We confirm receipt within 02 business days and respond with the outcome within 15 days of receiving the complaint.

You also have the right to file a complaint or denunciation with the Department of Cybersecurity and High-Tech Crime Prevention (A05), Ministry of Public Security, which is the specialized personal data protection authority, or to bring a lawsuit in court.

Data incidents

If a personal data incident occurs in which personal data is disclosed or lost, we take remedial measures immediately. If the incident is one that must be notified, we notify the specialized personal data protection authority within 72 hours of discovering it, and we notify you when the incident may affect your rights and interests.

Children

The website is intended for businesses and adults. We do not knowingly collect data from children under 16. If you are a parent or legal representative and find that a child has sent us information, please contact us so we can delete it.

For users in Japan

For personal information of people in Japan, we also comply with Japan's Act on the Protection of Personal Information (APPI).

  • Purpose of use: as described in the "Data we process and purposes" section. We do not use the information beyond these purposes.
  • Provision to foreign countries: we process data in Vietnam and through the providers listed in the "Who can access your data" section, including Google LLC in the United States. Vietnam has the Law on Personal Data Protection No. 91/2025/QH15.
  • Safeguards: as described in the "Data security" section. For providers abroad, we apply contractual safeguards and provide information about these safeguards on request.
  • Requests and complaints: please send requests for notification of the purpose of use, disclosure, correction, deletion, suspension of use, or suspension of provision to third parties, as well as complaints, to privacy@3ktechone.com.
  • Responsible entity: name, address, and representative as stated in the "Introduction and data controller" section.

Policy updates

We may update this policy. A new version takes effect from the date stated below. If a change introduces a new processing purpose, we will ask for your consent again.
